Why a thin paper kit still matters

UK freelancers live in FreeAgent and email — until someone asks for a wet-ink contract, a receipt HMRC wants clarified, or a discovery note that never made it into the CRM. A small physical kit stops “I will scan it later” from becoming a Self Assessment panic.
This shelf is four objects:
- Notebook — discovery and negotiation notes that should not live only in Slack.
- Lever arch — year-tabbed invoice / contract backup.
- Scanner — receipts into the bookkeeping pile the same week.
- Label maker — tax-year tabs so the arch file is not archaeology.

The short list
| Item | Why it exists | Skip if… | Product |
|---|---|---|---|
| A5 hardcover notebook | Discovery notes, rate sketches, red-flag lists | You already capture every call in a typed system you trust | A5 dotted notebook. Several versions are sold, so compare sizes and finishes before choosing. |
| A4 lever arch file | Invoice and contract backup by tax year | Cloud + accountant already holds every PDF with retention you trust | A4 lever arch file |
| Portable document scanner | Receipts and wet-ink pages into the books | Phone camera + OCR already files cleanly into FreeAgent/Xero | Portable document scanner |
| Label maker | Tax-year and client tabs on the arch | Handwritten tabs stay readable for you | Label maker |
Item notes (why / how / skip)
A5 hardcover notebook
Why: Discovery calls move fast. Writing “scope / rate / smell test” on paper keeps you present and gives a durable record when Slack scrolls away.
How: One notebook per quarter. Date every page. Transfer decisions into the proposal the same day.
Skip: You already use a structured call template in Notion/Docs and never lose threads.
A4 lever arch file
Why: Digital fails in specific boring ways — wrong folder, wrong laptop, accountant asks for “the signed one.” A year-tabbed arch is cheap insurance.
How: Tabs: contracts, invoices issued, invoices paid, tax correspondence. Keep prior tax year closed and labelled.
Skip: You and your accountant already share a vault with explicit retention.
Portable document scanner
Why: Phone photos of crumpled receipts waste bookkeeping time. A feeder scanner turns a week of till slips into searchable PDFs.
How: Scan weekly into the bookkeeping inbox; delete the paper once the PDF is reconciled (bookkeeping minimum).
Skip: Low receipt volume and solid phone OCR workflow.
Label maker
Why: Handwriting fades; labels survive a move and a stressed April.
How: Tax year + “OPEN / CLOSED” on the spine. Client names only when a folder is thick enough to matter.
Skip: One thin file and a Sharpie is enough.
